The Role

The Executive Officer will provide governance and support to the Aotearoa NZ Committee and work with the Aotearoa NZ Manager to coordinate the delivery of committee related projects.

Other role responsibilities include but are not limited to;

  • Administrative support to the Aotearoa NZ Manager
  • Support RACP Facilities Manager to ensure alignment of Facilities policies and processes between Australia and Aotearoa NZ
  • Aotearoa NZ Office management including but not limited to:
  1. Maintenance of forms, procedure manuals, and other Office documentation
  2. Alignment of operations related to travel, taxis, events, procurement, and health & safety to the centralised functions
  3. Oversight of Aotearoa Office induction process, office manual, staff IT setup and allocation of building security cards, and ongoing management of shared mailboxes and access to files and folders
  • Ensure continuous improvement in the processes that underpin the functions of Member Services Aotearoa NZ and the Aotearoa NZ Office.
  • Any other tasks or responsibilities as and when required to support Member Services Aotearoa NZ and the Member Services Directorate to achieve the College’s strategic goals.

The Successful Candidate

To be successful in the role, you will possess the following skills and attributes;

  • Proven experience in a similar role
  • Demonstrated ability to work in a complex, multi-stakeholder environment
  • Excellent writing skills, including preparation of committee agendas and minutes, reports, external communications, proposals and presentations
  • Excellent interpersonal and verbal communication skills, including tact and cultural sensitivity, and sensitivity to political nuance
  • Ability to build positive and constructive relationships with internal and external stakeholders
  • Excellent organisation skills including demonstrated ability to establish and modify systems to reflect best practice
  • Proficiency in the use of MS Office and the use of databases

An understanding of the Aotearoa NZ health system would be beneficial.
