Administrator/Accounts Assistant

A great opportunity has arisen for someone who wants to get into an administrative role with a focus on accounts. This role is multifaceted with a huge range of duties to keep you busy and interested. Supporting a busy and successful leading Auckland recruitment firm, you will be the first point of contact for all temps and contractor. Responsibilities include; new employee and customer set up, weekly follow up to ensure hours are is entered correctly onto our system ready for payroll. You will assist with weekly and monthly payroll and get involved in reporting, light credit control and general administration.
  
You will be joining a first class accounts team, lead by an experienced and inspirational leader. The office culture is vibrant and fun, and in a fantastic location in the heart of the city. You will also have lots of contact with our awesome recruiters as well as our clients and candidates, so there is lots of people engagement too!
  
We are looking for someone who is willing to learn and numerically minded.  You will need some relevant office experience, however, we believe we can train what you don't know as long as you have a great attitude and good attention to detail.

Duties:
  • Setting up timesheets for temp/contractors
  • Send welcome to emails to temp/contractors & client ensuring they fill in correct paperwork & understand how to use Flexitime
  • Answer phone/email queries relating to payroll / Flexitime
  • Billing clients for temp/contractor hours (weekly)
  • Entering pay details into the system
  • Preparation of Temp Payroll (weekly) & contractor Fortnightly/monthly payments
  • Updating sales report for all placements (temp/perm/FTC)
  • Creating invoices for perm/FTC/temp to perm & sending on the correct day
  • Chasing up for PO’s / rectify any payment / invoicing issues
  • Entering Creditors into Xero
  • Following up on Debtors
  • Processing staff / Temp & contractor expenses
  • Petty Cash
  • Back up for Admin person (should know how to do profiles/contracts/arrange drug, MOJ, credit checks etc) in the event the administrator is away
  • Any other tasks clients/candidates/colleagues ask you for
