The Opportunity

 An exciting opportunity has emerged to recruit an Academic Services Coordinator to join the Academic Services team in the Faculty of Science.

About the Role

Reporting to the Academic Services Team Leader, this role has specific responsibility for supporting the creation and on-going maintenance of the academic timetable for the Faculty of Science and the associated administrative processes in liaison with schools, departments and with central Academic Services.

Skills and Experience

Ideally, you will be tertiary qualified or have relevant experience in a similar role within a large and complex organisation. You will possess excellent analytical and problem solving skills combined with a proactive customer focused approach. You will have experience in working under pressure to meet non-negotiable deadlines while maintaining a high level of accuracy. Candidates with expert knowledge and experience of Syllabus Plus or similar timetabling systems, PeopleSoft and proficiency in the Microsoft suite of packages will strongly be considered. Your ability to build robust relationships with internal stakeholders while managing expectations will also be key to your success in this role.

Key Accountabilities:

  • Liaise with relevant staff in schools/departments to confirm timetabling requirements including course delivery information, room requirements and staff availability
  • Create student cohorts to enable students to select a clash-free timetable
  • Produce draft timetable and liaise with schools/departments to confirm requirements
  • Coordinate data collection and input from schools/departments to populate the set up and maintenance of data in Syllabus Plus
  • Analyse enrolment patterns and test set up prior to enrolment
  • Set up enrolment controls and maintain the schedule classes in PeopleSoft
  • Resolve complex timetabling enquiries.
