National Portal Administrator

Job Description

Purpose of Role:                                                 

 

Our team is growing!

This role will spport the National Portal Manager with the smooth running of the student portal across New Zealand on the Postgraduate Certificate in Applied Practice (Digital and Collaborative Learning). This role is to cover the South Island as we grow. This role will be part of the Portal team consisting of 1 manager and 3 existing National Portal Administrators based in Auckland and Christchurch. 

 

The Mind Lab by Unitec Postgraduate Certificate in Applied Practice (Digital and Collaborative Learning) is the largest Postgraduate programme in New Zealand and is growing every intake with over 420+ students joining each cohort, three times a year.

 

Purpose of The Mind Lab by Unitec:

 

The purpose of The Mind Lab is to encourage the development of conceptual understanding of contemporary digital, scientific and technical theories and practices in young students between the core ages of 4 – 14 years and to develop the professional delivery skills for teachers using recognised digital pedagogies.

 

The Mind Lab offers classes for school groups, after school and school holiday programmes, and an NZQA-accredited postgraduate professional development programme for teachers.  

 

Key Areas of Responsibility and Accountability:

 

Assessment:

Entering grades into a content management system that interfaces at both Unitec and The Mind Lab. This is required every three weeks when the student's assessments are graded.

Core data entry and attention to detail skills are required.

 

Content Management Assistance:

The student portal is a bespoke portal that has been created specifically for the Postgraduate Programme. Each student has their own unique login. Portal administration and support is required to help direct students how to login, where to upload their work and general portal support on a daily basis. Weekly uploads to the portal of the course material is also required.

Content management & customer service skills required

 

 

Student Queries:

Administer student queries via email and Google + on a daily basis. Answer and redirect queries where relevant. An example of this may be assessment due dates, assessment extensions and face to face bookings with the Postgrad Directors or Online educators.

Excellent customer service, problem solving, written and oral communication skills are required

Knowledge of GAFE (Google Apps for Education) would be preferable, but not a must as training will be supplied.

 

Operations Admin / Event Management Admin

General operations and event management administration such as support to set up for the evening classes, Saturday classes, wine & cheese evenings, pizza nights, graduation. This may entail communicating with the students around RSVPS, printing off lesson plans, setting up tea, coffee, wine, cheese, pizza for the students. Taking photos and uploading to Google + with correct naming conventions.

Organised, attention to detail, motivation, self-starter skills are required

 

Student experience

Contributing to a wonderful student experience at The Mind Lab across New Zealand, responsible for responding to student enquiries, email and telephone queries, booking meetings with Postgrad staff and meeting and greeting students and visitors.

Customer Experience, proactive skills required

 

Internal staff: This position will work with all of the Postgraduate team in all 20+ locations including the National Postgraduate Director, Postgraduate Coordinator, Postgraduate Directors/Facilitators, Online Educators and Lab Managers.

 

Reporting lines: The position reports directly to the National Portal Manager at The Mind Lab by Unitec, Auckland.

 

Desired Skills and Experience

 

You will:

  • Engage with student/teacher customers actively and personally, and create an environment in which treats customers respectfully

 

  • Take care of customer (student) complaints and find positive solutions.

  • Provide a safe, clean, enjoyable working and learning environment for staff and students

 

  • Be an energetic and positive self-starter

 

  • Have at least 2 years' experience in a similar role with customer experience, website/CMS experience, data entry/admin skills

 

  • Have demonstrable experience in operating independently with excellent attention to detail & initiative

 

  • Ideally you will have existing relationships in the local community.
